Sending Files: Attachments

In addition to sending simple e-mail messages, GatorLink WebMail provides a means for you to send copies of files from your computer as "attachments" to your messages.

You begin the process by clicking the Browse... button on the GatorLink WebMail Compose page. You will then see a familiar-looking navigation panel titled "File Upload".

Use that panel to navigate to the file you wish to attach to the current message. When you have located the file, click the Open button.

The "File Upload" panel will close, and you will be returned to the GatorLink WebMail Compose page. The "Attachment:" field will now contain the name of the file you selected, prefixed by its full "path" (where the file is located) on your computer. You may not be able to see the complete path-and-name information in the small "Attachment:" field, but you should be able to see the first part of it.

At this point, you have successfully completed the process of attaching a file to your message. When you click the "Send Email" button, the file, together with whatever message you entered in the regular message-body, will be sent to the recipients you specified in the To:, CC:, etc. fields.

Depending on the size of the file, and the speed of your Internet connection, it may take anywhere from a few seconds to a full minute or more to complete the "Send" action. This is because the file is being copied from your computer to the e-mail server so that it can be sent to your recpient(s).

Note

When sending files attached to messages, you may want to consider UN-checking the "Copy message to Sent folder" check-box. Since you already have a copy of the file on your computer, and since some files can take up a great deal of storage in your GatorLink account, it may not make sense to store an additional copy of the file in your e-mail folders.

Attaching Multiple Files

As described above, you use the "Browse..." button to attach the first file to your message. If you want to attach additional files, you must first click the "Add Another Attachment" button (located immediately to the right of the "Browse..." button).

When you click the "Add Another Attachment" button, a new section will appear between the "Attachment" controls and the message body, listing the file(s) you have already attached.

Notice that after you click "Add Another Attachment", the "Attachment" field which previously displayed the path-and-name of your first attachment has been cleared out.

Now you can click the "Browse" button again to locate the next file you wish to attach. Each time you click "Add Another Attachment," another entry will be added to the list of attached files.

Note

When you are only attaching a single file to a message, the file is uploaded from your computer to the mail server when you click the "Send Email" button. But each time you click the "Add Another Attachment" button, the previously-selected file is uploaded to the server at that moment. Consequently, you may notice somewhat of a delay after you click the Add Another Attachment button, especially over a slow (such as dial-up) connection. This is normal behavior.

Removing Attached Files

If you attach a file to a message, but haven't clicked the "Send Email" button yet, you can change your mind and remove the attachment, without totally abandoning the message (via the "Cancel Message" button).

If the file(s) you wish to "un-attach" are listed in the attachment-list section of the page, you can click the check-box to the right of each file you wish to remove, and then click the "Delete Checked Files" button.

If this is the first (or most recent) file you've selected for attachment, it won't show in the attachment-list section. In that case, you can un-attach it by simply blanking out all the information in the "Attachment:" field.

Restrictions on Attachments

GatorLink WebMail imposes a limit of 5 megabytes maximum size on the combined total of all files attached to a message. If you try to send a message with attachments totalling more than 5 megabytes, GatorLink WebMail will not send the message, but will instead return a message:

The total size of attached file(s) is too large. Size limit: 5 mb.

Certain types of files will be refused by the mail system, due to their ability to incorporate potentially harmful code. If you try to send one of these file-types, GatorLink WebMail will not send the message, but will instead display a page containing the message:

BADNAME - Message contains an attachment with a dangerous name: yourfilename.exe

The list of prohibited file types may be found on the CNS OpenSystems Web-site.
