Chapter 21. GatorLink E-mail Quota (Storage Limit)

Trash Quota

Folders allow you a convenient way to save and organize your e-mail. However, there is a limit to how much storage space you are allowed to use. This limit is referred to as your "quota."

Currently GatorLink e-mail boxes are alloted 150 megabytes of storage. For comparison purposes, this is roughly equal to 78,000 average typewritten pages, or over 250 fair-sized books! While this is a very substantial amount of storage, please bear in mind that images, pictures, movies, sound-files, spreadsheets, and other non-text information you may have attached to some of your messages (sent or received) occupy a surprising amount of storage, and can use up your allocation faster than you might expect.

The "Folder Quota" display, which appears on all "list of messages" pages, tells you how much space is used/available in your INBOX (which includes all your regular folders--they are technically "sub-folders" of your INBOX), and in your Trash ("INBOX.Trash").

If you find that you are running low on space in your GatorLink INBOX, you may wish to consider looking for messages with attached files (images, music, etc.), saving these files to your workstation, and deleting the message from your GatorLink folder(s). This is the fastest way to free up space without having to delete very many messages. Remember that except for the "Trash" folder, all of your GatorLink folders are actually subfolders within your INBOX folder. So, when searching for space-hog messages to delete, check ALL your folders!

Trash Quota

The Trash folder ("INBOX.Trash") has its own, separate storage limit (or "quota") (currently 25 megabytes, but this is subject to change). When it becomes full, you will no longer be able to "delete" messages from your INBOX or other regular folders, because there is no room for them in the Trash folder. You must free up space in the Trash folder--either by emptying it ("Empty Trash"), or by opening it, selecting individual messages in it, and clicking "Delete Forever" .

Messages in the Trash folder do not count against your regular-folder space allocation ("quota"). This separate space-limit on the Trash folder is provided to protect users from encountering problems receiving mail because they have forgotten to empty their Trash. It prevents the situation where a user with relatively few messages in his or her INBOX and other regular folders still cannot receive any new messages because their Trash folder has swollen to such a size that the user is out of space for new messages. With a separate "Trash Quota," your regular quota is protected from being filled up by unemptied trash.

The GatorLink E-mail system administrators may, at any time, and without warning, delete all messages in your Trash folder, if the system is short on space. You cannot rely on the Trash folder as a kind of "extra storage" space.
