Bridges continues to build and improve the enterprise systems. Over 900 updates and improvements were made to the systems in the fiscal year just ended. Below is a baker’s dozen of highlights from the year.
myUFL now supports multiple business units in PeopleSoft. UFF, UFRF and several others now use the University PeopleSoft system. This major project re-engineered reporting, security, general ledger and many other areas of the 2004 implementation.
Working with UF Purchasing, Bridges developed a new process for Voucher Imaging using fax machines. To pay a voucher, departments provide documentation which is scanned for storage. Previously a department had to make copies and send them to Purchasing. Purchasing would scan and mark the voucher for payment. The process could take weeks to complete. Now departments use PeopleSoft to produce a fax cover sheet with a bar code that is used to fax images to software that converts to scanned images and marks for payment. The process can be completed in minutes 24 hours a day. The new process has been in use since May 25. Within the first two weeks, over half of all university vouchers were using the new method resulting in manpower savings, faster turn around and lower error rates.
New managerial budgeting reports and processes have been developed and piloted in five departments. This includes a new Financial Information Tool for analysis of budget, actual and commitment activity with roll up to department, college, VP level.
Working with University Financial Services, the Registrar’s Office, and units from around campus, an implementation of a new Student Financial System based on PeopleSoft to replace the aging mainframe legacy systems has begun. The new system will be in operation in May of 2008.
Employee year end statements were added to myUFL as well as and payroll notification by email to improve employee access to pay information. eRecruit was replaced with PeopleAdmin to provide improved job search and recruiting capabilities for applicants.
Working with Human Resource services, the GatorGrad Care insurance plan was implemented, along with the VALIC Roth 403B benefit plan, the 401A special pay plan for payouts saving employees FICA on payouts, and the FICA alternative plan for OPS employees.
The Contracts and Grants offices have adopted PeopleSoft for setup and billing of all new awards. All awards made in fiscal 2006-2007 in main C&G are now billed from PeopleSoft. Over $100M has been billed from PeopleSoft since September 2006.
Grant Negative Balance reporting is now used monthly to identify projects that may have overspent their budgets. Grants offices work with investigators on a project by project basis.
A monthly PI Summary report is now produced for each of UF’s 7,000 active projects showing expenditures by category and projected salary expenses.
Monthly financial reports from October 2006 back to July 2004 have been produced for all funds.
My Reports, self-service tools for organizing access to monthly reports, is available in myUFL > Enterprise Reporting. This tool provides a means for identifying favorite reports and combining them into single reports for download as spreadsheets or PDFs.
A new messaging infrastructure for enterprise system integration based on BizTalk was created and used to standardize management of all computer accounts at UF by coordinating five identity management systems. Over 45,000 inactive accounts removed.
A new university site license for the Oracle database was negotiated. Bridges now uses the Oracle database for all new PeopleSoft work. With the acquisition of PeopleSoft by Oracle, use of the Oracle database is recommended.
